Administrative Supervisor

Reporting to the Unified Administrator and Director of People Operations, the Administrative Supervisor performs executive secretarial/administrative duties supporting the Department Chair and Senior Leadership. Prioritize assignments, projects, calendar maintenance, travel, call management, and organize functions to ensure effective operations of the Chair’s office. May lead and train departmental clerical staff.



  • Coordinate departmental office functions including but not limited to organizing clerical functions and determining priority of tasks
  • Transcribe diction, prepare, edit correspondences, manuscripts, reports, and meeting minutes
  • Collects and prepares data in response to routine inquiries and assist Physicians/Administrator to prepare complex reports
  • Coordinate and arrange conferences and major functions.
  • Assist in preparation and dissemination of publicity materials and curriculums
  • Maintain Chair’s calendar, travel arrangements, schedule appointments, log, and prepare and process reimbursements



  • Knowledge of Microsoft Suite or PC based systems
  • Ability to communicate with faculty, staff, and all internal and external departments on behalf of the office of the Chair
  • A minimum 7 years of executive secretary experience
  • High School/GED required; Bachelor’s Degree preferred
