To assist in the daily operations of the clinic. Perform routine clerical activities such as typing, data entry, filing, and answering telephones.



  • Schedule physical exams, follow-up medical appointments, and emergency medical visits for all patients.
  • Schedule medical appointments for Physician and Physician Assistant as required; schedule patient appointments with other staff as necessary.
  • Monitor Excel and Outlook daily to follow up on pending appointments. Set up systems to ensure that patients are scheduled for revisits and reminded of pending scheduled visits.
  • Retrieve and prepare case records are available for medical or counseling appointments.  Prepare charts for physical examinations and physician contacts.  Prepare medical and social charts for new clients.
  • Record and file abnormal lab report results; label and route lab specimens.
  • Monitor patient flow in Waiting Room. Register, process and check out patients attending the clinic on an ongoing basis. 
  • Filing of all materials, such as counseling and doctor’s notes, consultation reports, lab reports, and x-ray reports, into case records.  Review records continuously for missing data.  Keep all records up to date.
  • Set up and maintain a filing system for correspondence and records.  File records reports, correspondence, etc. And search files to obtain same. File materials on a daily basis and ensure accuracy with HIPAA compliance.
  • Type letters, forms reports, charts, bills, inter-office correspondence, purchase orders, and check request, petty cash vouchers, reimbursement forms, etc. as required.
  • Assist clinic secretary as needed; perform all secretarial duties in his/her absence.
  • Operate all office equipment, including photocopier and fax machines.
  • Answer telephone calls and route them to the appropriate staff member while registering and checking out patients simultaneously
  • Must be willing to rotate from clinic to clinic.  Must be willing to work other than Monday through Friday, 7:30 a.m. – 3:30 p.m.



  • High School Diploma/GED
  • Must have at least 6 months working experience
  • One year of experience using Microsoft Word Products (Outlook, Word and Excel) required.
  • Must be able to type 50WPM.
  • Experience with EPIC registration preferred.
  • Must be able to work effectively with patients who have substance use and mental health disorders in a professional manner.
  • Must be able to maintain appropriate boundaries with patients.
  • Must be able to work collaboratively with multiple staff members in a fast paced environment.
  • Must be able to multi-task.
