Montefiore’s Department of Pathology seeks Secretary to Chairperson who will Coordinate Chairman's calendar and organize assignments and functions to ensure effective office operations.  In this role, you will perform secretarial duties and assume routine administrative duties. May lead and direct clerical staff. Perform other duties as required.



  • Maintains and coordinates Chairman's calendar
  • Screens and responds to telephone and mail inquiries. Collects and prepares data in response to routine inquiries, assists Chairman to prepare correspondence and reports
  • Coordinates departmental office functions including organizing clerical functions and determining priority of tasks
  • Takes and transcribes dictated correspondences, manuscript reviews, reports and meeting minutes
  • Plans and arranges for conferences and major functions. Prepares and disseminates publicity materials and curriculum. Prepares schedule of events and supervises activities at the event. Maintains accounts and negotiates rates for services
  • Prepares and types routine correspondences, reports, and forms. Assists in the preparation of scientific manuscripts or publications
  • Performs routine clerical duties including maintaining file systems and policy manuals, tabulating data, maintaining accounts and records, providing phone coverage
  • Utilizes PC-based word processing systems and other software to design forms and reports and store and retrieve information
  • Maintains inventory of office supplies and equipment. Orders supplies when necessary. Contact office equipment vendors concerning routine maintenance and repairs
  • Performs other duties as assigned by management



  • High School Diploma/GED required
  • 3 years of Work Experience Required
  • PC proficiency in word processing systems and other office management related software
  • Ability to type a minimum of 35 words per minute
  • Knowledge of medical or equally complex terminology helpful
  • Can operate personal computer, fax machine, copier, calculator, dictation equipment
  • Excellent written and verbal communication skills
