SENIOR CLERK

BRONX, NY, US


The Senior Clerk performs a variety of clerical functions to insure the efficient operation of a Physician’s office or clinic and will serve as a liaison between the patient, physician, specialist and diagnostic services.  Schedules appointments, secures authorization and coordinates referrals to specialists and diagnostic services.  Verifies insurance coverage status and collects and records payment utilizing automated systems.  Performs related work as required.

 

Responsibilities:

  • Decide priorities of multi-tasked clinic environment. 
  • Prioritize scheduling of patients via telephone and walk-ins. 
  • Assessment of which patients are eligible for carfare reimbursement.
  • Randomization of urine collection and monitoring of results of urine toxicology to inform clinical staff of any unexpected or concerning results. Enter all returned samples into patient charts, identifies potential errors or areas of concern, and informs supervisor.
  • Create and update medical records on patients and schedules appointments. Follow-up on labs and tests ordered by provider and documents summary of results in chart.  Pull charts and attaches labs for medical review.
  • Perform all appropriate clerical work in connection with preparation of billing source documents.  Open and close billing source documents (in Epic) for each patient visit. Ensure that when tasks are performed they are billed to ensure receipt of maximum revenue.  Take monetary collection.  Manually enter all patient billing information into internal spreadsheet and external billing source each month. Assist supervisor in verifying list of billable visits to ensure proper clinical documentation is present and all eligible visits are billed. 
  • Assist supervisor in review of all patient charts for completion, accuracy, timeliness and policy compliance.
  • Ensure all paperwork required for clinic operations is copied and organized for use by counselors and medical providers and assist in ordering of necessary office supplies.
  • Facilitate entry of admission and discharge information into OASAS system.
  • Ensure group sign-in documentation from various providers is accurate.
  • Explain payment policy to patients depending on insurance and ensure payment is secured at time of service.
  • Receive non-Medicaid patient payment and/or insurance forms.  Verify Medicaid eligibility and HMO status via electronic verification system. 
  • Inform patients of current charges and outstanding balances and arrange for full or partial payment.
  • Schedule/arranges patients’ transportation when indicated.  Handle related transportation issues, including daily provision of metrocards to all eligible patients and entry of all metrocards provided into PTAR system.
  • Assist patients with admission to program. Greet new patients in a timely fashion and registers them on the initial visit.  Collect and verify  insurance  and payment information
  • Receive incoming phone calls and schedule appointments. 
  • Under direction of clinical staff, secures urgent approvals on referrals including scheduling of urgent appointment.  Provides prior authorization for medical visits or medications, as needed.
  • Operate automated PC workstation for registration, scheduling, billing, collection of urine toxicology and receipt of results (Epic, Mindlinc, Avatar, TREKS).  Utilize scanners and label printers in daily operation of Epic system.
  • Use fax machine, copiers, telephone and electronic Medicaid verification match services as needed. 
  • Use PTAR system to enter Medicaid information and determine carfare eligibility.
  • Perform filing, record keeping and weekly update of patient attendance
  • Enter documentation of interdisciplinary team meetings and patient discharges.

 

EDUCATION, TRAINING & EXPERIENCE:

  • HIGH SCHOOL GRADUATION OR EQUIVALENT TRAINING PROGRAM. 
  • Completion of training program or equivalent.
  • Six months to one year of clerical or health care experience. 
  • Training in third party billing and insurance, Medicaid and Medicare regulations and procedures. 
  • Knowledge of HMO and managed care plans and covered benefits.
