BENEFITS SPECIALIST

TARRYTOWN, NY, US


Job Purpose:

Administers and maintains the daily activities of the Montefiore Retirement Plans (403b, 457b Executive plans, Deferred Compensation and HSRP and BURKE Plans and/or others as assigned) in accordance with all applicable Plan guidelines. Functions as a primary liaison between employees, retirees and vendors related to the Plan(s), and advises on eligibility, coverage, and other related matters.  Acts as retirement plans subject matter expert. Participates in projects associated with the Retirement Plans as needed.

 

Essential Functions (include the following):

 

  1. Provides day-to-day administrative support to the VP HR, Total Rewards, and the Director of HR Benefits, involving the TDA Plans for both MMC and the Burke.  Also provides administrative support for other retirement-related benefit plans, such as Retiree Health, etc., as assigned.
  2. Acts as the organization’s initial point of contact regarding the qualified and non-qualified retirement plans, as well as other retirement-related benefits plans (as assigned), for all current and prospective Plan participants, as well as Plan recordkeeper(s) and various other third party vendors to the Plan(s). 
  1. Assists in the development, coordination and utilization of interface files for all data sharing between Montefiore, Plan record keeper(s) and other Plan vendors.  Maintains data integrity and resolves issues that arise with record-keepers for correction to administration records (DOTs, DOBs, SSNs, LOA’s, etc.).
  2. Researches and advises HCM Team, Finance, Payroll and others (as appropriate) regarding corrections to retirement plan deductions.
  3. Reconciles, prepares, coordinates authorization, and delivers wire transfers/check request to fund employee and employer contributions to the retirement plans.  Coordinates and posts the enrollments and employees changes to the non-qualified plan bi-weekly in the Payroll system, as needed.  Provides Payroll advice regarding changes for participants paid through the Confidential Payroll.
  4. Coordinates and assists with the preparation and filing of all legally and Plan-required summary plan documents, notices, forms and/or other documents, as appropriate.  Monitors programs to ensure compliance with internal guidelines and regulatory requirements and activities, including annual audits, Form 5500 preparation and filing, and compliance testing. Responsible for all onsite activities related to the filings.
  1. Monitors Plan(s) activities, including loans, deferments, and coding issues and corrections in Payroll system.  Responsible for authorization of loans, withdrawals, service provider death notifications and beneficiary confirmation, and completion of service requests as required.
  1. Researches and responds to inquiries from past and current employees with regard to their retirement benefits.  Researches and corrects any/all data - related errors received from employees regarding the retirement plans.
  2. Assures the timely and up-to-date maintenance of procedure manuals related to the employer-sponsored retirement plans, as applicable.
  1. Responsible for all participant forms for the non-qualified plan distributions, transfers, withdrawals, and deferred elections.  Maintains and archives files of all documents (incl’g meeting minutes; regulatory correspondence and resolution materials) related to the TDA Committee and/or other retirement plan(s).
  2. Assists with the development of employee communications regarding the retirement plans, including financial well-being programs
  3. Under the direction of the Director, HR Benefits, assists in the oversight of special projects that require integration between employee retirement benefits and other HR priorities, as well as merger and acquisition planning activities.  Maintains historical data regarding plans and service providers connected with mergers and acquisitions, as applicable

Education/Skills:

Bachelor’s Degree or equivalent experience 

Five (2-5) years of similar or related experience is highly preferred.

Attention to detail, excellent written and verbal communications and interpersonal skills, basic math, organizational, reading comprehension, interpretation, negotiation, analytical, and problem-solving skills.

Background, knowledge and understanding of retirement plans and related contractual documents and laws is desirable, as is knowledge of pension regulations and an understanding of related accounting, recordkeeping and PC applications.

Able to work independently and be an effective team member.

Proven ability to successfully accommodate and process a large volume of customer activities and requests.

Some intercampus travel required (up to ~5%).
