Organization Management (OM)/Personnel Administration (PA) Operations Specialist

Key Objectives:

  • Responsible for the maintenance of the Table of Organization for all of Montefiore.
  • Maintains all organizational hierarchy changes as a result of but not limited to restructuring, new company initiatives, acquisitions and partnerships, new building purchases.
  • Responsible for basic Personnel Administration configuration and to help troubleshoot any employee master data and system issues.
  • Reports to the Assistant Director HCM Operations.


Job Description

Responsibilities include:

  • Responsible for Organizational Management (OM) system configuration (e.g., evaluation paths, custom relationships, position requirements, reporting structures and hierarchies).
  • Oversees the creation and maintenance of OM module attributes including organizational units, jobs, positions, qualifications, job families, etc.
  • Works closely with the HR Compensation team to ensure that all positions are assigned the correct job attributes; works closely with the Budget/Finance teams to ensure that all budgeted positions are correctly identified and maintained in SAP; works closely with HR team to resolve HCM master data issues.
  • Maintains and assigns relationships for automated workflow; monitors the workflow process to ensure all Employee Action/Positions Control processes are functioning properly and resolve any issues that occur
  • Works closely with HR and Security to ensure appropriate access to HR and financial information is granted to system users as well as troubleshoot user issues
  • Works with HCM Operations team members to ensure appropriate synchronization of position related data and employee master data attributes.
  • Responsible for facilitating and performing mass updates of organizational, position related, and employee master data
  • Run reports and clean up OM master data including vacant positions and empty structures
  • Provide functional expertise for HCM issues; makes recommendations towards resolution.
  • Investigate and test resolutions for HCM issues, enhancements, and configurations
  • Ability to run HR report queries and audits, analyze HCM master data, and present findings to HR/business leadership and make corrections as requested.


Desired Skills and Experience

  • Bachelor’s or advanced degree in Human Resources Management, Computer science or related field or equivalent.
  • Minimum 3 years of Experience with HCM solutions such as SAP, PeopleSoft or Oracle application is required.  SAP HCM is strongly preferred. Minimum 3 years with HR data and related processes.
  • Strong time management, organizational skills and attention to detail.
  • Ability to communicate and work well with individuals, and in group settings with all levels throughout the organization.
  • Intermediate to advanced expertise with Microsoft Office Suite (Word, Excel, PowerPoint)
