ASSISTANT MANAGER PAYROLL

TARRYTOWN, NY, US


Overview: As a Payroll Assistant Manager at our large healthcare organization, this position will play a crucial role in ensuring accurate and timely payroll processing for all employees. Reports to Payroll Senior Management, assist in overseeing the payroll department, assist in managing payroll operations, and ensure compliance with relevant laws and regulations. Work closely with Human Resources, Finance, and other departments to maintain payroll records, resolve payroll-related issues, and assist in implementing  process improvements.  Responsible for supervising the Payroll Processing for all Montefiore’s operating divisions encompassing over 25,000 employees based on many labor contracts with a gross payroll in excess of $2 billion annually.  In addition, this position supervises 3 payroll clerks to assure an accurate closing of all payroll adjustments for multiple payroll companies, the processing of salary verification forms and unemployment forms.

Responsibilities:

  1. Assist in overseeing the payroll department and daily payroll operations.
  2. Ensure accurate and timely processing of payroll
  3. Verify timekeeping records and reconcile discrepancies, as necessary.
  4. Coordinate with HR to ensure accurate employee data maintenance, including new hires, terminations, and changes in employment status.
  5. Assist in managing payroll-related inquiries and resolve employee issues in a timely and professional manner.
  6. Stay updated on federal, state, and local payroll regulations.
  7. Assist in preparing payroll reports, tax filings, and other payroll-related documents as needed.
  8. Assist with training, motivating and evaluating payroll staff.
  9. Support internal and external audits related to payroll processes and records.
  10. Oversee high volume payroll entries using UKG timecards, payroll adjustments and special payments.
  11. Verify information submitted through Workflow for Session and Bonus Pay.
  12. Reconcile multiple entity payrolls for union, non-union and exempt employees.
  13. Calculate and process manual checks.
  14. Calculate overpayments.
  15. Run payroll simulations prior to payroll transmittal to validate payroll hours and information entered.
  16. Review payroll tax documents for Finance.
  17. Oversee batching and distribution of payroll checks and vouchers as needed.  

Qualifications:

  1. Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  2. Previous experience in payroll processing within a healthcare organization or similar industry preferred.
  3. Knowledge of payroll laws, regulations, and best practices, including FLSA, IRS regulations, and state/local tax laws.
  4. Proficiency in payroll software and systems, such as SAP, UKG, Workday or similar platforms.
  5. Strong analytical and problem-solving skills with attention to detail.
  6. Excellent communication and interpersonal skills with the ability to interact effectively with employees at all levels.
  7. Ability to prioritize tasks, meet deadlines and work efficiently in a fast-paced environment.
  8. Discretion and confidentiality in handling sensitive employee information.
  9. Team-oriented attitude with the ability to work collaboratively and independently.
  10. Certification in Payroll (CPP) or related credentials a plus.
  11. Ability to multitask.
  12. Self-starter
  13. Advanced Excel skills.
  14. 4 year degree, consideration will be given for experience in lieu of degree.
