PROGRAM ASSISTANT NON-UNION-NE

Montefiore Medical Center's Division of Clinical Pathology is responsible for the laboratory testing of blood, urine, and body fluids for disease diagnosis and health maintenance. Utilizing the latest advances in computer technology, the Division maintains millions of dollars of state-of-the-art automated equipment at its laboratory sites and services hospitals, nursing homes, the Montefiore Medical Group, faculty practices, and voluntary physicians' offices at more than 40 sites.

 

Coordinate Pathology administration office activities.  Provide support to Senior Administrator and Assistant Administrator and prioritize assignments to ensure administrative office operations run smoothly.  Responsible for numerous functions including: tracking laboratory state proficiency testing materials, managing calendars, scheduling conference rooms, Kronos timekeeper for four Pathology offices/labs, SAP ordering for numerous Pathology cost centers, ordering of office supplies through HiTouch, and processing PAF, RFP, employee reimbursements, check requests, purchase orders, and CERs.  Performs other related duties as requested.

 

Responsibilities:

  • Receive and track laboratory proficiency testing materials from NY State. Coordinate with laboratory directors, supervisors and messenger to indicate arrival and delivery to appropriate labs for testing
  • Process and tracks all requests for personnel, personnel action forms, employee reimbursement, check requests, petty cash vouchers, purchase orders, and CERs
  • Coordinate with department physicians and Assistant Administrator to collect documentation and maintain physician credentialing files. Maintain associate personnel files
  • Kronos EZ Timekeeper for Yonkers Lab, Pathology Administration, Pathology Billing, Montefiore Westchester Square
  • Maintains inventory and orders supplies for administration office and supported lab/research areas through SAP and HiTouch. Communicate with vendors for special products
  • Administrative Support-answers phone, data entry, filing, schedules conference room, etc.
  • Coordinates with engineering, housekeeping and other departments to ensure office maintenance
  • Utilizes PC based word processing and spreadsheet software to store and retrieve information

 

Qualifications:

  • High School Diploma/GED required
  • 1 + years of work experience required 
  • Proficiency in Kronos, SAP, HiTouch, Microsoft Word, Microsoft Excel, Microsoft Outlook, computer and printer required
  • Ability to operate office equipment and utilize PC based software for office applications

 

This position is located in Pathology Administration at the Moses campus. The standard hours are 8:30am – 5:00 pm Monday – Friday.
