PROJECT ASSOCIATE I

- Administrative Assistant for the Chairman of Oncology.

- Will assist with the day to day interactions of all  practice clinical services locations and Montefiore Leadership.  Will manage the demanding work-flow of the Chairman of Oncology OR Acting Chairman and other senior leaders. Will juggle competing demands for Chairman of Oncology's calendar and time commitments.
- Maintain Faculty Practice list, track and file paperwork, assist with reports as needed. Calendar management for Chairman of Oncology and coordination of meetings, travel; prepare itineraries. Creation of power point presentations, spreadsheet, collection of data, etc. 
- Coordinate all travel and logistics for meetings outside of Montefiore for Chairman of Oncology.
- Work to ensure that a clear, accurate system for tracking all approvals required of Chairman of Oncology (salary changes, faculty contracts, departmental expenses, IARs) is maintained.
 - Work with support staff in faculty departments to ensure that all necessary materials for Chairman of Oncology interaction with department chairs is prepared and available for interaction with departmental leadership.
-Coordinates internal resources & third parties/vendors for the flawless execution of projects.
-Creates and maintains comprehensive project documents.
- Manage credentialing process for all licensed providers. Track documents submitted and ensure all providers are fully credentialed prior to start date. Liaises with CMO and providers. Submits all Medicaid and Medicare enrollment applications.
Manage all personnel files and track expiring  items (Licenses, Certification etc.).
-In partnership with the Practice Manager, ensures that all projects are delivered on time, within scope and within budget.
- Communicate messages, convey assignments, coordinate details, and follow through on assignments. Provide reminders for upcoming deadlines and meetings, etc. Write, edit, format and distribute documents such as polished, grammatically correct letters,
 emails, memos, agendas, meeting notes, and pre-meeting background materials and deliver in final format. 
- Manage all technology related issues for the Chairman of Oncology, such as trouble shooting cellphone and laptop issues, and coordinating with technology personnel to resolve them.
- Serve as a friendly, helpful resource for faculty and departmental leadership. Represent the face of the Departments and Institution in a professional and friendly manner.  Will interact with department chairs and disease leaders in a professional manner. Other related duties as assigned.

 

 

EDUCATION, TRAINING, LICENSES, REGISTRATION, PROFESSIONAL CERTIFICATIONS, AND WORK EXPERIENCE

 

Bachelors degree preferred

5 years of work experience required

requires a high level of confidentiality, tact and discretion to handle sensitive matters

Demonstrated competency in writing skills, effective email etiquette, organization skills

Proficiency with Excel, Word and standard computer programs required
