RESIDENCY PROGRAM COORDINATOR

The Residency Program Administrator will report directly to the Residency Program Director and Department Administrator, the incumbent will: coordinate and supervise all aspects of the Family Medicine residency training program housed in the Department of Family Medicine as well as all cross-track activities for the Residency Program in Social Medicine (RPSM).  

 

The following elements represent some of those key areas coordinated and/or supervised by the Residency Administrator:

 

1.  Coordination and scheduling of the entire recruitment and application process, including coordinating interviews, managing the rank list and preparation for the National Resident Matching Program (NRMP) Match.

 

2. Oversight of the preparation of the Annual Resident Rotation Schedule.

 

3) Supervision of  preparation and distribution of resident schedules, including schedules for rotations, sick call, cross cover, daily inpatient unit activities, clinic sessions, and group educational activities.

 

4.) Supervision of the maintenance of data relevant to the evaluation of the program, including faculty evaluations of resident performance, resident evaluations of their experiences, logs of procedures,and alumni surveys. Maintain alumni database.

 

4) Preparation of accurate house staff count for purpose of institutional reimbursement and completion of annual promotional list for House Staff Office.

 

5) Response to surveys from Academic Societies.

 

6) Supervision of the coordination of catering for all resident events and resident recruitment sessions.

 

7) Coordination of annual day-long residency retreats and annual half-day mini-retreats .

 

8) Management of annual budgets for all resident related activities, including related to recruitment, alumni outreach, and graduation.

 

9) Supervision of the logistics for all tri-track (with social pediatrics and social internal medicine) activities: graduation, social medicine project presentation, intern welcome, social medicine orientation month, etc.  

 

10.) Coordination of on-boarding process for incoming interns.

 

10) Management of accurate  reporting to the ACGME and ABFM all required resident and residency information.

 

11) Creation and distribution of monthly resident productivity reports.

 

12) Management of resident schedules to ensure duty-hour compliance. 

 

Requirements

Bachelors Degree or 5 years or more experience in an academic medical center working with faculty and house staff required

Three years experience working in an office/administrative setting required

Proficiency with Microsoft Excel and Office, spreadsheets and databases is required.

Excellent communication, interpersonal, organizational, and writing skills are required.

Knowledge of the RRC/ACGME requirements for Family Medicine Programs is preferred but not required.
