The Secretary I will be responsible for providing secretarial, data entry, and routine administrative assistance within the DoSA Division of Substance Abuse treatment programs. This position will assist with the daily management of the office and facilitate essential program operations. 

 

Responsibilities:
•    Coordinate departmental office functions including organizing clerical functions and determining priority of tasks to ensure efficient office operations
•    Takes and transcribes dictation of correspondence, reports, and meeting minutes.  Assemble necessary background materials/documents for meetings
•    Assists the Administrative Manager in the preparation of  reports by gathering and tabulating data and information
•    Read and route incoming mail.  Setup and maintain a filing system for correspondence and other records
•    Answer telephone calls and provides information to callers regarding standard procedures.  Place outgoing calls as needed
•    Maintains supervisor and staffing calendars
•    Maintains inventory of medical office supplies and equipment. Orders supplies when necessary. Contacts office equipment vendors concerning routine maintenance and repairs
•    Utilizes MS Office word processing, presentation, and database software to design forms and reports and store and retrieve information
•    Prepare and maintain patient record files, enter STARS reports, doctor's notes, consultant reports, laboratory or x-ray reports into record
•    Register patients into Electronic Medical Record Systems.  Verify insurance coverage
•    Invoice, bill and collect payments.  Monitor self-pay patient balances.  Evaluate patients for self-fee charges based on sliding scale

 

Experience:
•    High School Diploma/GED required, Bachelor’s Degree Business administration/database management training preferred
•    A minimum of 1 year of work experience
•    Advanced MS Excel, MS Word, MS Outlook and MS PowerPoint skills required
•    Ability to type 45 words per minute is required
•    Knowledge of medical or equally complex terminology
•    Experience with EPIC and previous data entry and/or database management training/experience are preferred

 

The hours are 6:00AM – 2:00PM Mon-Friday. Must be able to work various shifts and locations depending on operational needs
