SECRETARY TO CHAIRPERSON

The Secretary to Chairperson will directly support the Chair and the Department Administrator (DA), and collaborate with the department team on special projects and deliverables for the executive leadership team. This position must be able to triage and re-prioritize projects and unexpected events independently and promptly to ensure the Chair and DA's administrative needs are met efficiently, professionally and with the highest level of quality. The crucial elements required of this position are confidentiality, tact and discretion to handle sensitive matters. Position may be responsible for attending executive meetings including preparation of materials, taking minutes, and tracking Chair and DA's expectations and deliverables. Position will support Chair and DA and collaborate across Neurosurgery department to ensure projects and meetings and properly executed and efficiently met. The Chair's schedule is highly complex and requires accuracy and efficiency on the part of this position to maximize opportunities for meetings and minimize disruptions. This position will be responsible for the Chair's calendar management, phone triage, distribution of materials and communications, special projects and administrative needs for the executive leadership team. This position will directly support the Chair's clinical practice across all neurosurgery locations, including scheduling patients, coordination of surgical scheduling, authorizations and patient follow up as needed.

 

Responsibilities include but are not limited to: 

Provide administrative support to the Chair and DA, including but not limited to phone triage, managing communication with departmental or hospital leadership team and complex scheduling of meetings calendar management
Arrange complex, high priority meetings with confidentiality, tact, and discretion and the request of the Chair and DA.
Collaborate and assist to complete special projects and tasks for the Department of Neurosurgery.
Responsible for preparing, organizing, tracking and distributing documents and materials for The Chair and DA.
Creates and maintains comprehensive project documents. In partnership with the Neurosurgery colleagues, ensures that all projects are delivered on time, within scope and within budget
Schedule, coordinate and verify all travel and accommodation needs for meetings, conferences and other related travel. Maintain travel schedules to resolve scheduling difficulties.

 

Qualifications/ Requirements: 
Bachelor's degree required.
3 years of related experience in assisting senior leaders or relevant experience
Proficient in Microsoft Office Suite including Power Point, Excel, Outlook, Word and Visio
Superior communication and presentation skills-polished presence
