SENIOR CLERK

Reporting to the Operations Manager and Supervisor of Operations to facilitate the day-to-day operations of the Departmental Clinical Practice.  Provide administrative support to several active faculty physicians in a highly specialized field focusing on outreach initiatives. Establishes the workflow for daily scheduled appointments while accurately maintaining patient medical records and collecting time of service payments. Coordinate extensive communication and information distribution amongst the practices and evaluates resources to ensure the timely completion of assignments. 

 

Responsibilities

  • Greet patients, departmental visitors, and physicians by addressing them respectfully.
  • Screen calls and record messages which may be confidential and of a sensitive nature. 
  • Follow HIPAA regulations while using discretion when dealing with patient medical records and release of information.
  • Ensure new or updated records are scanned in Montefiore EMR systems.  Facilitate necessary paperwork required and maintain accurate patient electronic medical records for billing. Ensure patient information in Montefiore EMR system correlates to information provided by patient.  Review all completed forms and finalize all missing data reviewed with patient.  Review demographic information, referrals, authorizations, and pre-certification.  Enter pertinent information into EMR systems. Organize, collect, and facilitate all documents required for billing compliance review. Perform routine office tasks such as: office supply inventory maintenance and arranging for special services.  
  • Participate in staff development activities both individually and as a team utilize opportunities for attending seminars, webinars, audio conferences, etc. Work with departmental faculty and nursing staff to facilitate the scheduling of follow-up appointments as a patient completes his/her clinic visit.  Assist patients with local travel arrangements.

 

Incumbent will be utilized as needed at all Women’s Health OB/GYN locations within NYC and Westchester. Ability to travel to Queens or Rockland, NY.

Requirements

  • HS Diploma or GED Required
  • One year of experience working in a medical office.  Experience working with Epic EMR
  • Basic understanding of health care and/or private practice operations.
  • Ability to multi-task in a fast-paced environment.
  • Basic understanding of Governmental and Commercial insurance benefits, including referral and authorization requirements and processes for surgical and diagnostic procedures.
  • Strong customer service and interpersonal skills.
  • Strong telephone and oral communication skills.
  • Knowledge of Microsoft Suite of applications such as Outlook, Excel, and Word.
  • Experience in EHR and patient Management Systems such as Epic.
  • Excellent spelling, grammar, and written communication skills.
