EXECUTIVE ASSISTANT-7772

Montefiore Information Technology is seeking a skilled Administrative Assistant to join our Administrative Services team. In this critical role, the individual will provide administrative assistance to 3 or more senior IT Directors. The ideal candidate has demonstrated experience as an administrative assistant in a professional environment. This person has a positive attitude, strong attention to detail, extensive calendar management and desktop skills. 

 

Responsibilities:

  • Work with complex calendars; scheduling and prioritizing meetings, conferences, activities, appointments, and events for multiple senior managers
  • Prepare, publish and distribute agendas and attend meetings
  • Compose, type, edit, and distribute meeting minutes
  • Prepare or assist with the preparation of scheduled and/or ad-hoc and specialized documents using MS Word, Excel and PowerPoint
  • Responsibilities may include drafts, notes, instructions, corrected copy, policy statements; proofread materials for accuracy, completeness, compliance with organizational policies, formatting, and corrections including grammar, punctuation and spelling
  • Perform research and analysis on specific issues, as required, and independently prepare non-routine letters and/or reports, which may be highly sensitive and confidential in nature
  • Prepare timely responses to routine correspondence
  • Attend to a variety of administrative details such as requisitioning of supplies, printing, copying, and other services
  • Keep informed of departmental/division activities and support day to day operations
  • Provide back-up support to other assistants, as required

 

Requirements:

  • College degree, business/secretarial school degree/diploma or related experience
  • Minimum of 3 years of experience as an administrative assistant to senior level managers in a corporate business and/or IT environment
  • Intermediate to advanced knowledge of MS Outlook & MS Office – Word, Excel, PowerPoint, Visio
  • Strong organizational skills and attention to detail are a must
  • Professional verbal and written communication skills
  • Strong customer service skills and ability to communicate effectively at all levels of the organization
  • Willingness to adapt to ever changing, growing environment
  • Strong ability to multitask and must be comfortable with competing priorities
  • Discretion and judgment in handling confidential information
  • Excellent follow up skills
