PROJECT COORDINATOR - TRAINING

We are excited to announce that we are implementing Epic EHR for clinical and patient financial activity as well as consolidating ancillary core systems at White Plains Hospital (WPH), Nyack Hospital and Burke Rehabilitation. This project supports Montefiore Health System’s strategic initiative to more closely integrate members and provide more advanced and better-coordinated care to patients in the region.

 

As part of this expansion, we are seeking a Project Coordinator for our Training team.  The Project Coordinator is responsible for assisting in organizing various components of a project to help with the successful delivery of medium to large, complex programs/projects in conjunction with the assigned program/project manager. The Project Coordinator is responsible for performing administrative activities related to the project/program, such as preparing status reports, presentations and spread sheets and tracking against the budget. The Project Coordinator provides outstanding client service and contributes to the organization’s mission of utilizing information technology to improve patient care.

Responsibilities include:

  • Learning management administration

o   Training enrollment

  • eLearning administration

o   Assigning eLearning

o   Prepare and maintain Registration reports

  • Work with Service Manager
  • Manage training requests
  • Coordination of project budgets

o   Responsible for the coordination of budget items including LOE’s, IAR’s and CER’s

o   Prepares bills and invoices

o   Prepares budgetary and progress reports, POR’s and purchase orders

o   Maintain resource budget document

o   Maintain capital budget document

  • Maintain scope documentation

o   Coordinate completion of scope change

o   Update scope log

  • Maintain project lists and risk documentation

o   Maintain risk register document

o   Maintain issues and action item document

o   Manage delegated components of issues list

o   Manage delegated components of action item list and risk register

  • Administration for Projects

o   Maintain the project work plan using designated project management tool

o   Maintain schedule in Open Work Bench with Project Manager oversight

o   Schedule meetings with internal teams, customers, and vendors

o   Prepare and/or edit meeting minutes, presentation and tables, manuals and procedures

o   Develop and maintain contact list

o   Update and maintain communication plan document

o   Maintain an updated record of project status and deliverables

  • Oversee compliance of document management procedures.
  • Performs other related duties as required.

 

Requirements include:

 

  • Proficiency in Microsoft Office
  • Experience in training environment preferred
  • Knowledge of project management concepts preferred
  • Knowledge of project management planning tools a plus
  • Project coordination experience preferred
  •          Project activity coordination experience preferred
